Travel grants

The BHS may offer 2 types of travel grants to young hematologists

Conditions

  • To be a BHS member in good order of payment
  • To be less than 35 years of age
  • To plan to travel abroad (not in Belgium) either to a hematology meeting (BHS travel grant) or to get training abroad in the field of hematology (BHS training grant)
  • For BHS travel grants : have an abstract accepted for oral / poster presentation at the planned meeting

Procedures

  • All forms are available from the website: use only current version
  • Applications (Form A) should be addressed to the BHS administrative office at Congress Care : bhs@congresscare.com  
  • The BHS administrative office verifies that the application is complete and requests further information from the applicant if necessary
  • The BHS administrative office forwards the application to the BHS treasurer (+ copy to President) who presents it to the next board meeting for decision
  • The BHS treasurer informs the applicant of the decision, using form “BHS travel grants–Response letter” or “BHS training grants–Response letter” as appropriate
  • Upon return, the applicant must send the reimbursement request (Form B) to the BHS administrative office at Congress Care : bhs@congresscare.com
  • The BHS administrative office verifies that the request is complete and requests further information from the applicant if necessary
  • The BHS administrative office forwards the reimbursement request to the BHS treasurer who pays the approved amount
  • The BHS administrative office keeps track of all grant applications and outcome in the form of an Excel file

BHS travel grants : to attend an international meeting

  • Maximum 1 grant per laboratory/department per meeting.
  • Maximum amount granted 1,500 €.
  • Applicants must first apply for funding at other sources, including but not limited to their own University / Hospital and the FWO / FNRS. Funding by BHS will only be granted if such funding is also obtained or its absence is duly justified.

  • Payment is made only when a complete reimbursement request is sent after the meeting

Applicant must send at least 1 month before the date of travel :

  • Form “BHS travel grants - Form A : application” (original Word file + scanned version with signature)
  • CV
  • Letter of support by head of Department
  • Proof of abstract acceptance

After returning, applicant must send :

  • Form “BHS travel grants - Form B : reimbursement request” (original Word file + scanned version with signature)
  • Certificate of attendance
  • Copy of plane / train tickets (travel by car not reimbursed)
  • Copy of all invoices / tickets
 

BHS training grants : to get clinical or laboratory training abroad

  • Maximum 1 grant per laboratory/department per year.
  • Maximum 3 grants per year in total.
  • Maximum amount granted :
    - 1,500 € for a short stay (≤ 1 week).
    - 5,000 € for a longer stay (taking into account city/country of training and length of stay).
  • Applicants must first apply for funding at other sources, including but not limited to their own University / Hospital and the FWO / FNRS. Funding by BHS will only be granted if such funding is also obtained or its absence is duly justified.
  • Payment is made :50% before departure | 50% upon return only when a complete reimbursement request is sent
  • Obligation to mention BHS support on any publication resulting from the training.

Applicant must send at least 2 months before the date of travel

  • Form “BHS training grants - Form A : application” (original Word file + scanned version with signature)
  • CV 
  • Letter of support by head of Department
  • Proof of acceptance at visited center

After returning, applicant must send :

  • Form “BHS training grants - Form B : reimbursement request” (original Word file + scanned version with signature)
  • Certificate of training
  • Copy of plane / train tickets (travel by car not reimbursed)
  • Copy of all invoices / tickets 
  • Report on training program and other activities (1 page)
